Are you having difficulty getting all the technical and legal terms down on paper prior to sending out your RFP? Let us do it. We have had years of experience on both sides of the experience. We have written them from scratch and have responded to RFPs of varied quality for over 30 years.
One of the most difficult things to determine when responding to an RFP is trying to read between the lines to ascertain what the issues really want. Very often they are not clear and often their technical presentation is very muddled with a dump of many terms and acronyms that technically don’t make sense.
HRI does the following for you at a very reasonable cost and keeps you from being challenged or sued.
- Help you specify your “requirements.” These are the guts of the RFP and should state precisely what you are looking for.
- We write the entire RFP and wrap it around the requirements in one cohesive presentation.
- Bidding procedures have to be clear, unambiguous, and easy to follow so that a potential bidder can understand what they have to do to submit a responsive bid. So the dates, times, places, type of bid materials, and the schedule and procedures that will be followed are carefully laid out.
- Next HRI maintains lists of current, qualified vendors. Prior to issuing a bid we contact all the known vendors to ensure that the contact person, the addresses, telephone numbers, and E-mail addresses are current.
- HRI distributes the final document to the vendors after local committees sign off on it and respond to any questions that bidders have.
- If pre-bid conferences are required, HRI organizes and runs those for the client.
- When the proposals are received, HRI parses through them and arranges the responses by each vendor in an “apples to apples” matrix, so that users can make an informed choice.
- HRI contacts the references and asks them all the same set of questions and organizes their responses into a side by side matrix.
- When the committees have narrowed down to a short list of vendors for oral presentations, HRI organizes the process, with schedules, local hotels, a list of mandatory features that are to be shown and rating sheets for the reviewers.
- If field trips to reference account sites are required, HRI provides all the planning and logistical support for those as well.
- Finally, we write the draft contract between the client and the apparent winning bidder to ensure that the technical and legal protections are included from our many years of being and working with contractors.
